The Client
A premium hospitality and recreational brand with an established elite membership program.
Members enjoy exclusive dining, retail, and lifestyle privileges — including reciprocal club access across multiple countries.
With a membership base that expects personalised, high-touch experiences, the brand needed its rewards infrastructure to match that standard.
Context
Elite membership programs require members to feel consistently valued between visits.
This brand already had the prestige and a strong global network. However, several operational gaps were limiting the effectiveness of its member rewards, especially birthday rewards.
- Firstly, the birthday vouchers were still being managed manually, making the process slow and difficult to scale.
- At the same time, redemption tracking remained inconsistent, leaving teams without a clear view of how incentives were being used.
- Meanwhile, the finance team had limited visibility into what vouchers were being issued and where they were being redeemed, making governance difficult.
- Finally, without a centralised member wallet, even well-designed incentives felt fragmented and easy for members to forget.
In short, the brand needed more than a voucher tool—it needed a structured system.
The Challenge
The Brand Faced Several Interconnected Challenges
- Keeping elite members continuously engaged
Although the membership program already offered premium privileges and global reciprocal access, the brand still needed a way to maintain regular engagement between visits. It wanted to create consistent touchpoints through dining, retail, F&B, and birthday rewards—without increasing manual workload for the operations team. - Ensuring fair practices and financial governance
At the same time, incentives were being issued across multiple outlets and teams. The organisation needed clear separation of responsibilities—one team to create vouchers and another to approve them. This structure was essential to maintain accountability, prevent misuse, and ensure financial discipline. - Scaling recurring campaigns without manual intervention
Meanwhile, recurring benefits such as monthly birthday vouchers and member rewards were still managed manually. As the membership base grew, the process became increasingly time-consuming and difficult to manage at scale. - Lack of real-time visibility
In addition, the team lacked clear insight into voucher creation, issuance, redemption behaviour, and outlet-level performance. Without real-time data, it was difficult to measure campaign effectiveness or optimise member engagement strategies. - Fragmented member experience
Finally, members did not have a single, unified e-wallet to track their benefits. As a result, vouchers were scattered across different communications, making rewards harder to remember, access, and redeem.
The Campaign Design
Vouchermatic designed and deployed a structured, rule-based e-voucher ecosystem built around three priorities: member experience, operational automation, and financial control.
A governed voucher workflow — with clear separation of duties.
- Operations teams could create individual or bulk vouchers based on campaign requirements. At the same time, finance teams retained final approval authority before any voucher went live.
- As a result, this dual-layer structure significantly reduced the risk of unauthorised issuance while giving leadership a clear and traceable audit trail across every incentive issued.
- In addition, the platform enabled fully automated birthday campaigns. Member birthday data only needed to be uploaded once. From that point onward, the system automatically identified eligible members each month and issued vouchers accordingly.
- Consequently, what had previously been a recurring operational burden turned into a reliable, set-and-forget engagement touchpoint that could run consistently at scale.
A frictionless member wallet — no app required.
- Vouchers were delivered via SMS through a secure link. When members tapped the link, it opened a clean digital wallet where they could instantly view all their vouchers—those received, redeemed, and still available—along with their complete redemption history.
- As a result, members gained a clear and organised view of their benefits in one place.
- Most importantly, the experience required almost nothing from the member beyond a simple tap.
Location-level redemption tracking.
- Each outlet was assigned a unique PIN. At the point of redemption, staff entered this PIN into the system, allowing the brand to accurately capture where, when, and how each voucher was used.
- As a result, redemption activity could be tracked with far greater precision.
- For the first time, the organisation gained clear visibility into outlet-level performance and voucher usage patterns.
Role-based dashboards and real-time reporting.
Operations, finance, and marketing teams each had access to role-specific dashboards tailored to their responsibilities. These dashboards provided visibility into voucher creation, approval status, SMS delivery, redemption rates, and overall campaign performance.
Outcomes and Learnings
- A controlled, scalable, and data-driven membership engagement engine — designed for both growth and accountability.
With Vouchermatic in place, the brand transformed its membership rewards from a manual, inconsistently governed process into a reliable engagement system. Key outcomes included: - Recurring campaigns running autonomously — birthday vouchers delivered monthly without any manual intervention.
- Full financial governance — every voucher passing through a formal approval workflow before reaching members.
- Outlet-level visibility — real-time data on redemption behaviour across all locations for the first time.
- Higher perceived membership value — members engaging with a unified, transparent wallet experience.
- Operational time reclaimed —only 3 members were required for running these campaigns as an additional duty.
